SAP TIME is a sub-module of SAP HR

The TIME sub-module of HR offers functionality to record attendance and absences for employees, shift/workforce planning, shift administration, time evaluation (attendances, absences, overtime and bonus wages), etc.

Why record Time ?
The purpose for recording time is to ensure the correct tracking of all employee time-related data to calculate gross pay, overtime, accruals, and a variety of other relevant information necessary for time & attendance, human resources, and payroll.

Different methods of Time Entry recording are:
  • Manual Timesheets: Employee uses a time clock to punch-in or fills out their own timesheet. The information on the timesheet is keyed into the payroll system to generate a paycheck.

  • Automating Timesheets: Select a software solution designed to automate the complete timekeeping process from collecting and calculating time & attendance information to tracking projects, pay codes, accruals, etc.

Purpose of the Timesheet Data process is to:
  • Record the working times for employees
  • Record Absences
  • Allow for payroll to be correctly processed

Time Recording Methods:
  • Exception or Negative time recording is the recording of deviations to an employee’s assigned work schedule i.e. Sick leave / Jury duty.

  • Positive time recording is the recording of actual times, including attendances, and deviations from the work schedule i.e. a Custodian recording all hours worked and any absences.

What is Shift Differentials ?
Shift differentials (also called shift premiums or shift pay) increase an employee’s pay for working an undesirable shift.

What is Leave Quotas ?
A Leave Quota in SAP stores the entitlement of leave assigned to each employee as per HR policy.

Absences are linked to Leave Quotas in SAP and unless there are sufficient quota hours, an absence can’t be entered.

What is Leave Accruals (accumulation) ?
At the end of each month of service, a full-time classified employee accrues the number of hours of vacation leave credit as shown in the chart below.
